No Forms Needed: MCA Email ID Update Now Fully System-Driven
The Ministry of Corporate Affairs (MCA) has clarified the procedure for updating the registered email ID of Companies and Limited Liability Partnerships (LLPs) under the MCA V3 portal framework.
MCA Clarifications:
•The process is fully system-driven and authentication-based
•The email ID is part of the Business User profile linked to the entity
•Any modification to email ID must be carried out through the Profile Update functionality
•The e-Form route is not available for such updates under MCA V3
•Once updated, the email ID is automatically reflected in MCA records (Master Data linkage)
•No approval from ROC is required
The Business must have to use their Business User account on the Ministry of Corporate Affairs V3 portal because all entity-related actions, including email updates, can only be performed through a logged-in, authenticated profile linked to the CIN/LLPIN.Without this account, the system does not permit access to the Profile Update functionality, making any modification to the registered email ID impossible.
Steps to update Registered Email Id on MCA Portal
Step 1: Login to Portal
• Login using the registered Business User credentials.
Step 2: Go to Profile Update
• Click on your profile and select “Profile Update” from the dashboard.
Step 3: Enter New Email ID
• Scroll down & Click on the “Update Email ID” option then type the new email ID in the provided field.
Step 4: OTP Verification
• In case of companies/LLPs, the system requires Validation by authorised signatories (Directors/Designated Partners)
• Based on system functionality, authentication is required from two authorised persons through OTP verification on their registered mobile number and email ID
Step 5: Update Completed
• After verification, the email ID is updated instantly in MCA records - no form or approval required.
The Ministry of Corporate Affairs V3 portal reflects a clear shift toward profile-based, system-driven management of entity information. Updating the registered email ID is no longer a filing activity but a controlled process carried out through the Business User profile. The requirement of OTP-based authentication by authorised persons ensures that such changes are properly validated within the system. Once completed, the update is reflected instantly without any form filing or approval, highlighting the real-time nature of the V3 framework. Entities should align with this mechanism to ensure their contact details remain current and accessible for MCA communication.
